Common Questions and Answers; Closing out the School Year in MiSiS
Why am I getting an error message when attempting to edit a withdrawal record for a matriculating student?
This is a known bug and a resolution is being worked on. It has been labeled as a high priority.
Why aren’t students appearing when I search for them?
Because the school year ended on 6/9, students are no longer considered enrolled at the site. Use the Advanced Search and select the check mark to include students no longer enrolled or change the date back to 6/9/2017.
How do I create a retention record?
Schools must enter retention warning records. There should be one record for “May be retained” during GP2 and a second record for “Will be retained” during GP3. Another option is to do a Grade Level change when the new school year begins.
How do I create a student transfer record?
If the student is returning to the same school next year according to the MiSiS record, but is actually going to another school, a transfer record can be entered. If student has matriculated to another school according to MiSiS, a transfer record cannot be entered. The new school will need to enroll the student for 17-18 school year or use auto-withdrawal on July 1. Refer to Entering a Transfer job aid for directions.
How do I update attendance for a teacher that is no longer able to do so?
Go to advance search > select the date the attendance needs to be submitted > search for the room number and period in the drop down menu. Click on search, check all the students, select manage attendance, and toggle the period(s) where you want to update attendance.
How do I go back to mark attendance for a student in Independent Study?
If a student was in independent study and attendance was never taken, and the students is no longer in the independent study section, the school will need to call the help desk to open a ticket for assistance. Once a student is no longer in a section for independent study, the system will not allow the user to submit and/or update attendance.
How do I mark 12th grade students for the end of the year to show they are leaving or returning?
Schools must enter either a leave reason code on the Mass Leave Reason Entry screen for all 12th grade students who will NOT be returning to an LAUSD school the next school year or a YEF on the Year-End Flag screen for students who will be returning.
The Mass Leave Reason Entry Screen will be used for recording leave reasons for all 12th grade students who will not be returning to school the following school year. The screen is now available to all schools and can be accessed via the Admin drop down menu. Select the Mass Leave Reason Entry line under the Admin menu. The new screen will list only 12th grade students. The screen may be used to filter by specific groups (Grade, Grad Year, Grad. Eligibility, Special Education or Projected Leave Reason) or by individual student. The screen can be accessed by users with MiSiS roles of Office Manager, Principal, Scheduling Administrator, or Counselor. Refer to the MiSiS Job Aid for directions: Mass Leave Reason Entry.
The Year-End Flags Screen will be used for Completers or Certificate of Completion students returning to school next school year as well as students who did not complete requirements and will be returning to school next year to continue to work toward completion of the requirements. Year-End Flags can be entered for students by group or individually by staff with the MiSiS role of Principal, Scheduling Administrator, Counselor, Counselor Plus, or Office Manager. This Year-End Flag Screen can be accessed in MiSiS through the Student Search Screen, searching then selecting the student and navigating to the Action drop down. This screen and functionality are currently available.
Why am I getting “no data found” when I try to run a report for graduating seniors?
When running any report for Graduating Seniors that has an ‘Enrollment Status’ parameter, user should select “All” or “Not Enrolled”. Since the default is “Currently Enrolled” the reports are coming back with “No Data” found because as of 6/9/17 students are no longer enrolled.
